Full job description

We are seeking a structured, attentive, and energetic Administrative Assistant under Production Department to join our manufacturing team in Balakong. In this role, you will report directly to the Production Executive and serve as the administrative backbone of our production floor. Your primary mission will be to handle the essential paperwork, data tracking, and material coordination that keeps our manufacturing lines running efficiently and on schedule.

This is an entry-level operational role. If you are a fresh graduate looking to build a career in supply chain, manufacturing operations, or industrial management, this is the perfect place to start.

Key Responsibilities

1. Data Logging & Production Reporting

  • Collect daily production logs from the line leaders and accurately input data (output numbers, reject rates, machine downtime, and working hours) into the system.
  • Assist the Production Executive in compiling daily, weekly, and monthly production efficiency reports.
  • Maintain and update the production digital dashboard or whiteboard schedules.

2. Materials & Inventory Coordination

  • Monitor inventory levels of raw materials, packaging supplies, and consumables on the production floor.
  • Assist the Production Executive in preparing material requisition forms to request stock from the warehouse.
  • Track and document material wastage or damages during the manufacturing process.

3. Documentation & Compliance Control

  • Organize and maintain technical production documents, including Batch Manufacturing Records (BMR), Standard Operating Procedures (SOPs), and equipment maintenance logs.
  • Ensure all paperwork complies with quality standards (e.g., GMP, HACCP, or ISO) as directed by the Production Executive.
  • Help prepare documentation for internal audits or safety inspections.

4. Operational Support

  • Assist the Production Executive in printing and distributing daily production schedules, work orders, and packing labels to the floor.
  • Help track operator attendance, shift schedules, and overtime logs for the Production Executive's review.
  • Act as a communication bridge between the Production Executive and the floor workers/operators to ensure instructions are clear.

Job Requirements

  • Education: Diploma or Bachelor’s Degree in Business Administration, Operations Management, Industrial Management, Science, Engineering, or a related field. Fresh graduates are welcome and encouraged to apply!
  • Experience: No prior manufacturing experience is required; comprehensive on-the-job guidance will be provided by the Production Executive.
  • Technical Skills: Good proficiency in Microsoft Excel (data entry, basic formulas) and Word.
  • Soft Skills:
  • Highly organized with the ability to work in a fast-paced, dynamic factory environment. Strong communication skills to interact comfortably with both executive management and general floor workers. Resilience and adaptability to a manufacturing floor setting.
  • Languages: Good command of spoken and written Bahasa Malaysia and English. Ability to speak Mandarin or regional dialects is a strong advantage to communicate effectively with vendors or floor staff.
  • Location: Based full-time at our plant in Balakong, Selangor.

Pay: RM2,300.00 - RM3,200.00 per month
