Job Title: Gallery Aide
Department: Museum Operations
Reports To: Consultant/ Operations Manager / Gallery Manager
Location: Penang Indian Legacy Museum, Penang

Position Summary

The Gallery Aide is responsible for creating a welcoming and memorable experience for all visitors while supporting the daily operations of the museum. This role includes greeting guests, conducting guided tours, monitoring exhibits, handling admissions and ticketing, maintaining gallery cleanliness, and assisting with educational and cultural programmes. The Gallery Aide plays an important role in preserving the museum's heritage collections and delivering excellent customer service.

Key Responsibilities

Visitor Services

  • Welcome and assist visitors in a friendly and professional manner.
  • Provide information about the museum, exhibitions, Indian heritage, and cultural collections.
  • Conduct guided tours for individuals, schools, tour groups, and VIP visitors.
  • Answer visitor enquiries and resolve basic concerns professionally.
  • Ensure visitors follow museum rules to protect artefacts and exhibits.

Gallery Operations

  • Open and close the museum according to Standard Operating Procedures (SOP).
  • Operate the ticketing counter and process admissions.
  • Record daily visitor attendance and ticket sales.
  • Assist with school bookings, group reservations, and event registrations.
  • Support special exhibitions, workshops, and cultural programmes.

Collection Care & Gallery Maintenance

  • Monitor galleries to ensure the safety and security of exhibits.
  • Report any damaged artefacts or maintenance issues immediately.
  • Maintain cleanliness and presentation of galleries, display areas, and visitor spaces.
  • Assist with exhibition setup, dismantling, and movement of display materials when required.

Sales & Retail Support

  • Promote museum tickets, merchandise, souvenirs, and café offerings.
  • Process sales transactions accurately using the POS system.
  • Assist with inventory counts for retail items when assigned.

Administrative Duties

  • Prepare daily visitor and sales reports.
  • Maintain records of visitor feedback and incidents.
  • Assist with promotional activities and social media content when required.

Requirements

  • Minimum SPM qualification.
  • Degree or Diploma in Tourism, Hospitality, History, Museum Studies, or related field is an advantage.
  • Experience in museums, galleries, tourism, hospitality, or customer service is preferred.
  • Fresh graduates with a passion for heritage are encouraged to apply.

Skills & Competencies

  • Excellent communication skills in English and Bahasa Malaysia.
  • Ability to speak Mandarin, Tamil or other languages are an added advantage.
  • Friendly, confident, and customer-focused personality.
  • Passion for Indian history, heritage, and culture.
  • Good presentation and storytelling skills.
  • Basic computer knowledge (Microsoft Office, email, POS systems).
  • Ability to work independently and as part of a team.

Working Hours

  • 6 days per week (rotational schedule).
  • Willing to work weekends, public holidays, and special events.
  • Ability to stand and walk for extended periods.
