About the Role
Reporting to the EGM – Supply Chain and Manufacturing the Office Manager keeps our Kuala Lumpur office running smoothly. You are the first point of contact for visitors, the go-to person for anything office related, and the person our team relies on to keep facilities, supplies, travel and events organised. It is a hands-on, people-facing role with genuine variety – no two days look the same.

Your responsibilities will include:
  • Welcoming visitors, managing calls, mail and deliveries, and keeping meeting rooms and shared spaces ready to go.
  • Acting as the key contact for Q Sentral building management, cleaners, contractors and season parking.
  • Coordinating office maintenance and repairs, access cards, security and pantry and hygiene supplies.
  • Sourcing office supplies and uniforms, reviewing invoices and supporting procurement with quotes and contracts.
  • Managing domestic and international travel and accommodation bookings with our KL travel partner.
  • Supporting internal communications on SharePoint and newsletters, plus Social Committee comms for KL and Nilai.
  • Coordinating catering, celebrations, recognition gifts and events such as Earth Day and International Women's Day.
  • Running local office inductions, seating plans and office moves for new and existing team members.
  • Serving on the KL Health and Safety committee and working closely with our HSE Officer at Nilai.
Skills & Experience
  • Previous experience as an Office Manager, Office Administrator or in a similar support role for a multi-national organisation.
  • Strong written and spoken English and a high level of proficiency in Bahasa Melayu.
  • Confident with the Microsoft Office suite; experience working within an ERP system is an advantage.
  • Excellent planning, organising and multitasking skills, with a sharp eye for detail.
  • Warm, professional communication style and the ability to build rapport at every level.
  • A discreet and responsible approach to confidential personal and commercial information.
  • Tertiary qualification in HR, business administration or a related discipline (MQA accredited degree desirable).
  • An interest in events coordination and creating a positive workplace is a bonus.
