About You

We are looking for an organised, proactive and detail-oriented Office Manager to oversee the day-to-day operations of our Kuala Lumpur office.

You take pride in creating a workplace where people have everything they need to do their best work. Comfortable managing multiple priorities, you bring structure, consistency and attention to detail across office operations, finance coordination, vendor management and employee support.

You are commercially aware and naturally solutions-oriented. Whether coordinating supplier payments, supporting onboarding, liaising with building management or organising workplace initiatives, you are confident working independently while ensuring nothing falls through the cracks. You understand that operational excellence depends on strong organisation, timely follow-up and accurate documentation.

What You Do

As an Office Manager, you ensure the smooth day-to-day operation of our Kuala Lumpur office while supporting workplace operations, finance coordination and employee experience.

  • You oversee the day-to-day running of the office, ensuring facilities, meeting rooms, pantry, equipment and shared spaces are maintained to a high standard.

  • You manage office expenditure, supplier invoices, staff claims and payment documentation, coordinating closely with the Finance team to ensure accurate and timely processing.

  • You coordinate office vendors and service providers, including building management, maintenance contractors, utilities, travel providers and other operational partners, ensuring services are delivered efficiently and issues are resolved promptly.

  • You maintain accurate office records, supplier information, administrative documentation and operational trackers, ensuring information remains organised, current and compliant.

  • You support employee onboarding and offboarding by coordinating office access, welcome packs, workstations, office assets and administrative requirements.

  • You coordinate travel arrangements, meetings, office logistics and workplace administration for employees, candidates and visitors where required.

  • You support workplace health and safety, government compliance and regulatory requirements, including the coordination of MOF certification, HRD Corp accreditation and other statutory documentation.

  • You contribute to employee engagement initiatives, office events, celebrations and workplace activities that strengthen our culture and employee experience.

  • You identify opportunities to improve office operations, administrative processes and workplace efficiency while supporting operational projects and continuous improvement initiatives.

What You Offer

  • 2–4 years of experience in office management, office administration, workplace operations or business support.

  • Strong organisational and coordination skills, with the ability to manage multiple priorities while maintaining exceptional attention to detail.

  • Experience coordinating finance administration, supplier invoices, payment processes, expense tracking or operational budgets.

  • Confidence managing office operations, facilities, vendors and workplace services in a fast-paced environment.

  • Excellent stakeholder management and communication skills, with the ability to build positive working relationships across employees, suppliers and external service providers.

  • Resourceful and solutions-oriented, with the confidence to work independently and follow through on operational matters until completion.

  • Strong documentation and record management skills, ensuring information remains accurate, organised and up to date.

  • Proficiency in Microsoft Office, Google Workspace and spreadsheet-based trackers.

  • Experience supporting employee onboarding, workplace events or employee engagement initiatives would be advantageous.

  • Diploma or degree in Business Administration, Human Resources or a related discipline.

  • Experience working within a communications, marketing or creative agency environment is preferred.
