Requirements:

  • Certificate / Diploma in Business Administration, Construction Management,Engineering, Project Management or related field
  • Minimum 2 -5 years of experience in project administration construction / engineering / property / PMC.
  • Familiar with construction project documentation and coordination processes
  • Proficient in Microsoft Office (Word, Excel, PowerPoint,Project)
  • Good organizational skills with attention to detail
  • Strong communication and coordination skills with the ability to liaise with multiple parties
  • Able to manage multiple tasks and work under pressure in a fast-paced project environment

Key Responsibilities:

  • Organize, maintain, and update all project-related documentation, including drawings, plans, contracts, tender documents, correspondence, reports, and other records.
  • Record, distribute, track, and maintain official correspondence, site instructions, meeting minutes, reports, and other project-related documents, ensuring proper filing and document control.
  • Coordinate meetings by scheduling appointments, preparing agendas, recording minutes, and monitoring follow-up action items.
  • Maintain proper document control systems to ensure accurate filing, retrieval, and tracking of project records and approvals.
  • Assist in the preparation, administration, evaluation, and documentation of tender and contract-related matters.
  • Compile site progress reports and maintain project data, including schedules, budgets, key performance indicators (KPIs), progress tracking reports, and management dashboards.
  • Support project teams in monitoring timelines and ensuring the timely submission of required documentation and approvals.
  • Coordinate with consultants, contractors, suppliers, purchasers, real estate agencies, and relevant stakeholders on project, contractual, and sales-related matters.
  • Assist in the administration and processing of payments to contractors, consultants, suppliers, service providers, and other project-related parties, including the verification, tracking, and maintenance of supporting documentation and records.
  • Assist in the administration of purchaser documentation, booking processes, sales records, vacant possession (VP), handover activities, defect management, and post-construction customer service matters.
  • Prepare, update, and maintain project, contract, purchaser, sales, and completion records for management reporting and reference.

Pay: RM2,800.00 - RM3,800.00 per month
