Job Description

We are looking for an experienced and proactive HR Executive / Senior HR to manage recruitment activities and support the company's overall human resource operations.

In this role, you will be responsible for handling the full recruitment cycle, managing onboarding and offboarding processes, maintaining employee records, and supporting HR policies and initiatives. You will also work closely with management to strengthen employer branding efforts and ensure smooth HR operations across the organization.

This position is ideal for HR professionals who are passionate about talent acquisition, employee engagement, and building effective HR systems within a growing organization.

Key Responsibilities

1. Handle and oversee the full spectrum of HR functions, including HR operations, recruitment, payroll, employee relations, performance management, training and staff development.
2. Manage the end-to-end recruitment process, including job posting, sourcing, screening, interview arrangement, selection, offer preparation and onboarding of new employees.
3. Manage and monitor monthly payroll processing, including attendance, overtime, allowances, deductions, leave records and other payroll-related matters.
4. Ensure accurate and timely maintenance of employee records, personal files, HR documentation and HR databases.
5. Handle employee-related matters including attendance, leave, disciplinary issues, grievances, confirmation, resignation and termination in accordance with company policies and applicable employment regulations.
6. Prepare and maintain employment contracts, confirmation letters, warning letters, salary adjustment letters, termination letters and other HR-related documentation.
7. Ensure compliance with relevant employment laws, statutory requirements and government regulations, including EPF, SOCSO, EIS, PCB and other applicable statutory matters.
8. Coordinate and monitor employee onboarding and offboarding processes, ensuring all required documentation and procedures are properly completed.
9. Assist in developing, reviewing and implementing HR policies, procedures and employee guidelines according to company requirements.
10. Manage performance management activities, including probation confirmation, performance reviews, KPI monitoring and performance improvement plans where required.
11. Identify and coordinate training and development needs to support employee performance and organisational requirements.
12. Handle employee relations matters and provide appropriate support/advice to management and employees on HR policies, procedures and employment-related issues.
13. Prepare regular HR reports, manpower reports, payroll-related reports, turnover analysis and other HR analytics for management review.
14. Support management in manpower planning, organisational development and other HR initiatives as required.
15. Ensure HR practices and documentation are properly maintained and audit-ready at all times.
16. Perform other HR-related duties and ad-hoc assignments as assigned by management.

Requirements

1) Minimum Diploma or Degree in Human Resource Management, Business Administration, Psychology, or related field
2) Proven experience in recruitment and HR operations
3) Strong understanding of recruitment processes, onboarding, and employee lifecycle management
4) Excellent communication and interpersonal skills
5) Ability to manage multiple vacancies and priorities simultaneously
