Job Summary

The Personal Assistant (PA) to the CEO provides high-level administrative and executive support to ensure the smooth and efficient operation of the CEO's office. The PA manages the CEO's schedule, coordinates meetings and travel, handles confidential information, follows up on key projects, and serves as a liaison between the CEO and internal as well as external stakeholders.

The ideal candidate is highly organized, proactive, professional, discreet, and able to work independently in a fast-paced healthcare environment.

Possess a valid driving licence and own transportation is an advantage.

Able and willing to travel locally and outstation as required by business needs.

Key Responsibilities

1. Executive Support

  • Manage the CEO's daily calendar, appointments, meetings, and travel arrangements.
  • Prioritize schedules and ensure effective time management.
  • Prepare meeting agendas, presentation materials, reports, and briefing documents.
  • Take meeting minutes and monitor follow-up actions.
  • Screen calls, emails, and correspondence on behalf of the CEO.
  • Handle confidential and sensitive information with absolute discretion.

2. Communication & Coordination

  • Act as the primary point of contact between the CEO and internal departments.
  • Coordinate communication with doctors, clinic managers, department heads, vendors, landlords, government agencies, and business partners.
  • Draft professional emails, letters, reports, and announcements.
  • Follow up with stakeholders to ensure timely completion of action items.

3. Project & Business Support

  • Monitor ongoing strategic and operational projects.
  • Track project timelines, deliverables, and progress updates.
  • Prepare weekly and monthly management reports.
  • Coordinate cross-functional meetings and ensure decisions are implemented.
  • Assist the CEO in monitoring business performance across the medical division.

4. Administrative Management

  • Organize and maintain electronic and physical filing systems.
  • Manage confidential contracts, licenses, legal documents, and corporate records.
  • Arrange meeting rooms, refreshments, logistics, and visitor management.
  • Process claims, reimbursements, and executive administrative expenses.

5. Event & Travel Coordination

  • Arrange domestic and international travel, accommodation, and transportation.
  • Prepare travel itineraries and required documents.
  • Coordinate management meetings, conferences, workshops, and corporate events.

6. Office & Executive Administration

  • Maintain the CEO's task list and ensure deadlines are met.
  • Assist with procurement of executive office supplies.
  • Coordinate document approvals and obtain necessary signatures.
  • Support special assignments as directed by the CEO.

7. Confidentiality & Compliance

  • Maintain strict confidentiality of business, financial, HR, and patient-related information.
  • Ensure compliance with company policies and applicable healthcare regulations.
  • Safeguard executive documents and sensitive information.

Job Requirements

Education

  • Diploma or Bachelor's Degree in Business Administration, Management, Healthcare Administration, Secretarial Studies, or a related field.

Experience

  • Minimum 3–5 years of experience as an Executive Assistant or Personal Assistant supporting senior management.
  • Experience in healthcare, hospitals, medical centres, or clinics is an advantage.

Pay: RM4,000.00 - RM6,000.00 per month
