Job description

To maintain efficient and effective implementation of state office administration processes. The administrative assistant works one-to-one with the state manager on a wide variety of matters. The candidate must be flexible to meet the demands of our growing organisation. The ideal candidate will have a cheerful character, impeccable organizational skills and prior experience in an assistant role.

What You’ll Do:

Office & Admin Support

  • Handle daily office operations and provide general administrative support.
  • Manage incoming calls, emails, and public enquiries professionally.
  • Maintain office supplies, organize documents, and assist in event coordination.
  • Report maintenance issues and support facility-related matters.
  • To compile daily reports, logs, lists of clients and donor's database and generate statistics as required.
  • Work closely with the State Manager and liaise with NCSM HQ on administrative needs.

Finance Support

  • Assist in procurement, tracking invoices, handling petty cash, and managing donations.
  • Maintain organized records of purchases and payments.
  • Support monthly budget forecasts and update the asset listing.

HR Support

  • Assist with submission of leave forms, claims, and staff documentation to HR HQ.
  • Support onboarding and offboarding processes for staff.
  • Maintain accurate staff records and contact lists.

IT Coordination

  • Help monitor office IT equipment and report issues to the HQ IT team.

Requirements:

  • Diploma in Business Administration, Office Management, or a related field.
  • 1–3 years of experience in administrative or office support roles.
  • Strong organizational and multitasking skills.
  • Good written and verbal communication skills in English and Bahasa Malaysia.
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Basic knowledge of finance and HR processes is an advantage.
  • Friendly, professional attitude with a strong sense of responsibility.
  • Able to handle confidential information with integrity.
  • A passion for working in the non-profit or social impact sector.

Job Types: Full-time, Contract
