Are you an organised, trustworthy, and proactive individual with a passion for healthcare administration? We are looking for a dedicated Admin Officer to oversee the daily administrative operations of our dialysis centre. This role is ideal for someone who is responsible, meticulous, and committed to delivering excellent patient service while ensuring the centre operates efficiently and in compliance with regulatory requirements.

Key Responsibilities

  • Manage the day-to-day administrative operations of the dialysis centre.
  • Register new patients and maintain accurate patient records, files, and confidential documentation.
  • Prepare, submit, and follow up on patient claims with PERKESO, SOCSO, Zakat, NGOs, insurance companies, corporate clients, and other funding agencies.
  • Ensure all claims are submitted accurately and within the stipulated deadlines, and promptly follow up on outstanding or rejected claims until payment is received.
  • Prepare invoices, receipts, quotations, purchase orders, payment vouchers, and other administrative documents.
  • Maintain proper filing systems and ensure all records are accurate, organised, and readily accessible.
  • Handle incoming telephone calls, emails, walk-in enquiries, and patient appointments professionally.
  • Liaise with hospitals, doctors, patients, suppliers, government agencies, auditors, licensing authorities, and other stakeholders.
  • Coordinate licence renewals, inspections, audits, accreditation exercises, and ensure all required documentation is prepared and updated.
  • Monitor inventory levels of dialysis consumables, medications, medical supplies, stationery, office supplies, and housekeeping items.
  • Conduct regular stock checks and maintain accurate inventory records.
  • Ensure sufficient stock is always available by planning ahead and arranging timely replenishment before stock reaches minimum levels.
  • Prepare purchase requisitions, coordinate with suppliers, compare quotations where necessary, place purchase orders, and follow up to ensure timely delivery.
  • Verify goods received against purchase orders and supplier invoices, and report any discrepancies or damaged items immediately.
  • Monitor product expiry dates and ensure proper stock rotation.
  • Coordinate equipment servicing, repairs, calibration, and preventive maintenance to ensure uninterrupted operations.
  • Ensure the dialysis centre is clean, organised, safe, and welcoming by coordinating housekeeping activities and monitoring cleanliness standards throughout the premises.
  • Supervise cleaners and ensure cleaning schedules are properly carried out.
  • Assist in organising staff schedules, attendance records, leave administration, and other HR-related administrative matters.
  • Prepare monthly reports, management reports, meeting minutes, and correspondence as required.
  • Assist in budgeting, administrative planning, and operational improvements.
  • Ensure compliance with company policies, Ministry of Health requirements, and relevant healthcare regulations.
  • Perform any other administrative, operational, or ad hoc duties assigned by Management to support the smooth operation of the dialysis centre.

Requirements

  • Minimum 1–2 years of administrative experience. Experience in a dialysis centre, hospital, clinic, or healthcare environment will be an added advantage.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable using computerised systems.
  • Excellent organisational, planning, and time management skills.
  • Strong attention to detail with the ability to work accurately under pressure.
  • Good communication and interpersonal skills in English and Bahasa Malaysia. Knowledge of Mandarin is an added advantage.
  • Able to work independently with minimal supervision and also as part of a team.
  • Honest, trustworthy, responsible, and able to maintain strict confidentiality of patient information.
  • Proactive, resourceful, and willing to take ownership of tasks.
  • Positive attitude with a willingness to learn and continuously improve.
